Streamlining Customs Processes with Centralised Automation

By automating our processes with CAS, we were able to reduce our costs by 50%. Beyond its cost efficiency, CAS also saves us a significant amount of time in the declaration process. Since everything is triggered automatically from our ERP system, creating a declaration takes just one minute, and it is typically released in CAS within another minute. In contrast, working with brokers previously took at least 30 minutes to complete the end-to-end customs declaration process.

Automation to keep up with the speed of the supply chain

Managing a high volume of export shipments each day can be challenging, especially for a small customs team. The customs team at Reynaers Aluminium, which consists of two employees, requires speed, accuracy, and automation not only to manage the customs workload but also to stay up to date with continuously evolving legislation.

Previously, Reynaers relied on customs agents to fulfil their customs requirements. However, to keep up with their fast-moving supply chain, they began exploring automation options. In January 2019, Reynaers implemented CAS, which allows them to manage declarations on a single centralised platform. This transition streamlined the filing process, facilitated exception-based declaration handling, and freed up resources for more significant customs-related projects. Reynaers chose CAS to drive this automation, focusing on exports from Belgium and transit to Switzerland.

“We knew from our experience working with C4T previously that their knowledge in the customs field is unparalleled, which gave us confidence in their solution”, said Ellen Spruyt, Business Analyst at Reynaers Aluminium.

Reynaers had previously automated its export flows, but Brexit created the need to extend the solution to UK imports in line with the new legislation. This was facilitated in CAS through single-message double filing. Since the UK is a key market for Reynaers, this enhancement was particularly important.

“Since we already had a solution in place for our exports, it was easy to integrate consecutive imports into the UK as well. We were pleased to see that C4T provided straightforward functionality for this through their single-message double filing flow. The UK import declaration is triggered automatically after the export declaration, eliminating the need for any action from our UK colleagues. This ensured our flows to the UK continued smoothly, even with the Brexit requirements. Moreover, we implemented it on time and avoided much of the Brexit-related stress that other companies faced”, said Christof Van Roey, Credit Manager at Reynaers Aluminium.

Benefits of customs automation

Transitioning to automation software requires an initial investment, but the benefits soon become apparent. For example, Reynaers Aluminium achieved significant cost savings because of the transition. What is more, in terms of time efficiency, submitting a declaration now takes only a few minutes, which is much faster than employing external providers. As a result, the customer experience has significantly improved, as delivery waiting times are reduced.

“By automating our processes with CAS, we were able to reduce our costs quite significantly” explains Christof. “But beyond mere cost efficiency, CAS also saves us a significant amount of time in the declaration process. Since everything is triggered automatically from our ERP system, creating a declaration takes only one minute. Next, to release the declaration in CAS takes about another minute, and that is it. While working with brokers in the past, completing the end-to-end customs declaration process would take a very long time. The efficiency of CAS has changed our processes for the better.”

In addition to cost and time savings, Reynaers Aluminium enjoys enhanced visibility through a centralised platform. Previously, the team was not able to track declaration statuses or obtain a consolidated view of their flows. With CAS, they now have full visibility within the system. Our customs team receives automatic notifications from CAS whenever there are irregularities, allowing them to quickly identify and immediately resolve customs errors. By correcting issues directly in the system, we ensure the goods pass through customs smoothly, which helps avoid costly delays.

We feel supported

If the team encounters an error they cannot resolve on their own—such as one caused by changing legislation—they can depend on their Premium Support package. In these situations, they can log a support ticket, allowing the C4T team to investigate the issue and provide guidance for a quick solution. As a result, the supply chain remains uninterrupted.

Documentation and reporting on point

Recently, we have further centralised our customs operations by integrating air shipments into its automated flows in CAS. A crucial factor in this process, which is also important for customs declarations made via road and sea, is ensuring the accuracy and availability of customs documents.

As an AEO-certified company, Reynaers Aluminium has a legal obligation to have post-clearance checks of their documents made. In our previous dealings with brokers, we often found that the necessary customs documents for reporting were either missing or contained errors.

“Chasing missing documents from our brokers and correcting mistakes is extremely time-consuming for our team. It creates a significant workload in the months our monthly or quarterly reporting is due. Since this reporting can be checked by the customs authorities, accuracy is crucial—any possible mistake is supposed to be solved” explains Christof.

With CAS, Reynaers Aluminium can configure all customs requirements, including legally defined additional document codes, in decision tables to automate both the customs filing and reporting processes. Additionally, all our export documents are accessible within the system at any time, making it easy to provide them to customs for reporting purposes or in the event of an audit.

As part of our Approved Exporter authorization, Reynaers Aluminium is required to maintain an annual ledger of all shipments made under this authorization. With the help of CAS, we can simply filter a few criteria to generate this report, saving a considerable amount of time. Previously, the team had to gather data from various sources and consolidate it into a presentable report. With CAS, this reporting burden is lifted, and the required information is readily available with just a few clicks.

Sliding through the migrations

With the recent completion of the AES and NCTS migrations, Reynaers Aluminium has reached an important milestone. As for all C4T customers, a script and project plan were created to identify the changes impacting the company and to address any gaps. Following this plan, we were able to successfully implement the necessary changes, test the new system, and ensure everyone was fully prepared well in advance of the migration deadlines.

“The communication about the migration projects was very well structured” tells Christof. “C4T's preparation allowed us to make the necessary changes well ahead of the deadline as they provided us with the guidance needed to manage these time-sensitive projects. Some of our decision tables in CAS required updates, and we utilized the Premium Support team to have these checked, ensuring they met the required standards. The regular follow-up calls helped us stay on track, and this all resulted in successful go-lives with the new systems.”

The future of customs at Reynaers

To further automate our customs operations, we are examining which flows are not yet fully streamlined and how best to address those issues. Since Brexit, the import flows from the UK through customs brokers have faced challenges, with frequent issues such as incorrect import documentation or missing copies of the import declaration. "We are considering bringing this flow in-house as well, to centralise it within CAS and create a more seamless process," concludes Christof.

In addition to the declaration processes, our company has several other customs-related topics on its agenda, including the Carbon Border Adjustment Mechanism (CBAM) and the upcoming changes to the Authorised Economic Operator (AEO) certification. The future of customs at Reynaers Aluminium looks bright and busy!
